Here is the eight steps workflow we follow to help you automate the processes:

Identify the Process Owner

This person needs to have the authority to change existing workflows. As we are working with your business workflow, we will undoubtedly come across situations that require a clear definition that may not have existed before. The process owner will need to clarify cases involving grey areas. One of the benefits of automating a process is that it usually becomes much more defined than before.

Keep the “Why” in Mind

Remember the goal of the automation process. Are you trying to save time? Save money? Track items better? Reduce paper forms? Reduce someone’s workload? Keep the primary goal at the front of everyone’s minds throughout the process.

Understand the History

How was this workflow managed in the past? Have there been any significant changes in the last year or two? Why did these changes occur? Workflows can often involve office politics and departmental boundary lines, so don't make assumptions.

Diagram the Workflow

Ignoring the rejections and exceptions at this stage, we map out the flow that 95% of items will follow. We assess if we need parallel workflows or if we want to add in specific conditional tasks. We are trying to keep the workflow to a minimal. We can always add tasks later, if required, but a shorter workflow gives us a greater chance of success.

Gather Data About the Unautomated Process

The best way to demonstrate the effectiveness of the automation process is to compare it to the manual version. How many people are involved? How long does each task typically take? How long does the entire process take? Without precise control data, it will be hard to show that the automation has made a difference.

Speak to Everyone Involved in the Workflow

We will talk to each task owner about the exact information they want to see to avoid bombarding people with more data than they need.

Test the Automation

We will start by assigning all the tasks to ourselves or the initiator. This ensures that the conditional paths, parallel branches, sequence numbers and formula fields are working correctly by running several items/tasks of different types to make sure it follows the correct direction.

Go Live

We will keep a close eye on the new process and ask people to confirm that they have access to the data they need.
